We only collect personal information that is reasonably necessary for our functions and activities (APP 3).

3. How We Collect Personal Information

We collect personal information:

  • Directly from you when you register an account, complete your profile, submit content, or contact us.
  • Automatically through cookies and similar tracking technologies when you use our website (see our Cookie Policy).
  • From third-party services such as Steam when you connect your gaming accounts, subject to those platforms' own privacy policies.

4. Why We Collect and Use Personal Information

We use your personal information to:

  • Create and manage your account and provide access to our platform.
  • Run tournaments, ladders, and community features.
  • Send transactional communications (account verification, password resets, important service notices).
  • Send optional newsletters and platform updates (you may opt out at any time).
  • Personalise your experience and recommend relevant content.
  • Monitor and improve platform performance and security.
  • Comply with legal obligations.
  • Resolve disputes and enforce our Terms of Service.

5. Disclosure of Personal Information

We may disclose your personal information to:

  • Service providers: third-party infrastructure and hosting providers, analytics services, and email delivery services who assist us in operating the platform, under contractual confidentiality obligations.
  • Other users: information you choose to make public on your profile, in forums, community posts, guides, or tournament results is visible to other platform users.
  • Legal requirements: where required by Australian law, a court order, or a government or law enforcement agency.
  • Business transfers: in the event of a merger, acquisition, or sale of assets, personal information may be transferred to the new entity.

We do not sell your personal information to third parties.

6. Cross-Border Disclosure (APP 8)

Some of our service providers may be located outside Australia, including in the United States, European Union, and other countries. Before disclosing personal information overseas, we take reasonable steps to ensure recipients handle it consistently with the APPs, including through contractual protections.

7. Direct Marketing (APP 7)

We may use your email address to send you platform updates, community newsletters, and promotional content where you have consented or where permitted under the Spam Act 2003 (Cth). You can opt out of marketing communications at any time by clicking the unsubscribe link in any email or by contacting us at privacy@playtopia.com.au.

8. Security (APP 11)

We take reasonable steps to protect your personal information from misuse, interference, loss, and unauthorised access, modification, or disclosure. These measures include:

  • Bcrypt hashing of passwords — we never store passwords in plain text.
  • HTTPS encryption across all platform communications.
  • Role-based access controls limiting staff access to personal data.
  • Regular security reviews.

No method of transmission over the internet is 100% secure. We encourage you to use a strong, unique password and enable any available security features.

9. Access and Correction (APPs 12 & 13)

You have the right to access the personal information we hold about you and to request corrections if it is inaccurate, incomplete, or out of date. You can update most profile information directly from your account settings.

To request access to or correction of your personal information, or to request deletion of your account, contact us at privacy@playtopia.com.au. We will respond within 30 days.

10. Data Retention

We retain your personal information for as long as your account is active or as needed to provide services, comply with legal obligations, resolve disputes, and enforce our agreements. When personal information is no longer required, we securely delete or de-identify it.

11. Children's Privacy

Playtopia is intended for users aged 13 and over. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such information, please contact us and we will delete it promptly.

12. Complaints (APP 1.4)

If you believe we have mishandled your personal information, please contact our Privacy Officer at privacy@playtopia.com.au. We will investigate and respond within 30 days.

If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au.
